Each submitted intake form represents a separate grant project and becomes part of that project’s file.

Information submitted through intake forms is stored within the Microsoft 365 platform.

Submissions are organized into client-specific folders maintained within OneDrive. Information may also be incorporated into working Word or Excel documents stored within the same Microsoft 365 environment for grant development, tracking, and project management purposes.

Email communications are conducted through Microsoft Outlook (Microsoft 365).

Access to client information is restricted to the business owner and authorized technical administrative support personnel who are bound by confidentiality obligations.

Administrative access is maintained for system management and security purposes.

Devices used to access client data are password-protected, and multi-factor authentication is enabled for Microsoft 365 accounts.

Reasonable administrative and technical safeguards are used to protect information; however, no electronic storage system can be guaranteed to be completely secure.

4. Information Sharing

Crimson Scribbles does not sell, rent, or trade personal or organizational information.

Information may be shared only:

  • With client authorization

  • For purposes directly related to grant submission (e.g., funders or authorized collaborators)

  • As required by law

5. Data Retention

Information submitted through intake forms that does not result in an active client engagement may be retained for up to 24 months for administrative and recordkeeping purposes. Such information is periodically reviewed and may be deleted when no longer necessary for business operations.

Client project materials, including submitted grant applications and related documentation, are retained for as long as reasonably necessary for legitimate business purposes, including reference, recordkeeping, compliance, and future funding support.

Retention periods may vary depending on contractual, legal, or operational requirements.

6. Third-Party Platforms

This website may link to third-party platforms such as Microsoft Forms. Information submitted through those platforms is also subject to their respective privacy policies.
